Fife Council reduce overheads with Informate Timesheets and Enquiries

RedSky IT systems have been helping Fife Council to support their business since 1992 when Conquest provided Job Costing information for the Road Services Division. In 2001 the system was upgraded to Progression AEC which has provided Project Accounting information ever since.

Now as part of the Environment Enterprise and Communities Resources Service, the software is being driven to do more, to reduce overheads and provide a better service to end users.

The Service adopted a two phase approach and began by first implementing on line enquiries in Informate, delivering up to date management information to Managers on each of their projects with drill down through workstages to individual cost transactions. Now, following the successful deployment of those enquiries which removes the need for the finance team to deliver information to managers, browser based timesheets are being deployed to 220 staff.

The aim is both to improve accuracy of information by providing look up lists for jobs and workstages to remove queries, but also to remove collection and rekeying costs. After all, if resolving queries on a timesheet and rekeying it takes only 4 minutes, for 220 employees this adds up to two days per week!

Robin Gordon from the Business Systems Division in Fife comments;

“Our main driver for implementing browser based timesheets was to extend the facilities available to staff and to reduce processing costs. It also means that management information is up to date so the business as a whole benefits from reduced costs and improved information”.
